Acceptable Use Policy

Version 1.0 · Effective from 9 May 2026

In short

Use SiteWrite for the professional surveying, inspection and reporting work it is designed for. Do not use it to break the law, harm anyone, attack our infrastructure, train competing products, or produce content you wouldn’t put your professional name to.

If we believe you are using SiteWrite in a way that breaches this policy, we may suspend or terminate access. We try to talk first; we act fast where we have to.

1. About this policy

1.1
This Acceptable Use Policy (the “AUP”) sets out the rules that apply to your use of the SiteWrite multi-tenant software-as-a-service platform and any related services (together, the “Service”), provided by SiteWrite Ltd, a company incorporated in England and Wales with company number 17177709 whose registered office is at 91 Princess Street, Manchester, M1 4HT (“SiteWrite”, “we”, “us” or “our”).
1.2
This AUP forms part of, and is subject to, our Terms of Service. Capitalised terms used but not defined in this AUP have the meanings given to them in the Terms of Service.
1.3
This AUP applies to every Customer, every Authorised User, and any other person who accesses or uses the Service. The Customer is responsible for the acts and omissions of its Authorised Users.

2. Permitted use

2.1
You may use the Service to:
  • prepare professional inspection-based Reports for your firm’s clients in the ordinary course of your business;
  • manage your firm’s phrase libraries, prompt overrides, branding and configuration through the firm administration application;
  • collaborate within your firm and exchange information with your end-clients in connection with the foregoing; and
  • evaluate the Service during a trial or proof of concept agreed with us in writing.
2.2
Use of the Service must always be consistent with: (a) all applicable professional, regulatory, statutory and industry standards relevant to the type of Report being prepared; (b) your firm’s own professional indemnity arrangements; and (c) clause 5 of the Terms of Service.

3. Prohibited use

3.1
Unlawful or harmful activity. You must not use the Service:
  • in violation of any applicable law, regulation, or professional or regulatory framework;
  • to commit, facilitate, or attempt fraud, money laundering, market abuse, or any other criminal offence;
  • to infringe the intellectual property, privacy, publicity or other legal rights of any person;
  • to harass, threaten, defame, or discriminate against any person, or to incite others to do so;
  • to produce, store, distribute or transmit material that is unlawful, obscene, abusive, or that exploits or endangers minors;
  • to misrepresent the condition, safety, compliance status, value, or any other material characteristic of any property, building, installation, system or other subject of inspection;
  • to impersonate any person or entity, or to misrepresent your relationship with a person or entity;
  • to issue a Report you are not professionally qualified, authorised, or competent to produce.
3.2
Misuse of AI features. You must not use the AI Write feature, or any other automated feature of the Service:
  • to generate Output and deliver it to an end-client without independent professional review by a suitably qualified individual;
  • to attempt to extract, reverse-engineer, or replicate the underlying prompts, model behaviour, or weights of any AI model used by the Service;
  • to generate content that misrepresents the nature, scope, or limitations of an inspection actually carried out;
  • to bypass any limit, rate cap, or safety control applied by the Service or by the underlying model provider; or
  • for any purpose prohibited by the underlying model provider’s usage policies.
3.3
Security and integrity. You must not:
  • attempt to gain unauthorised access to any part of the Service, to any account or tenant other than your own, or to any underlying infrastructure;
  • introduce any virus, worm, trojan, time bomb, malicious code, or other harmful component to the Service;
  • conduct security testing, penetration testing, vulnerability scanning, or red-team activity against the Service without our prior written consent;
  • interfere with, disrupt, or place an unreasonable load on the Service or any infrastructure used to provide it;
  • attempt to circumvent or disable any access control, rate limit, soft cap, audit logging, or technical protection measure applied to the Service; or
  • share login credentials, allow access by any person who is not an Authorised User, or use shared or generic accounts.
3.4
Competitive use. You must not:
  • scrape, harvest, or extract the curated platform phrase library, prompt templates, default taxonomies, or other Platform Content for the purpose of building, training, or supplying a competing product or service;
  • use the Service to benchmark a competing product or service for the purpose of public comparison without our prior written consent; or
  • attempt to copy, modify, reverse engineer, decompile, disassemble, or create derivative works of the Service software, except to the extent expressly permitted by law.
3.5
Data and content. You must not upload to the Service:
  • any Personal Data for which you do not have a lawful basis to process and to instruct us to process on your behalf;
  • any special category personal data (such as data revealing health, racial or ethnic origin, political opinions, religious beliefs, or biometric data) except where you have determined that the processing is lawful and proportionate and you have notified us in accordance with our Data Processing Addendum;
  • any payment card details, government-issued identification numbers, or other financial credentials, except in the structured fields explicitly designed for that purpose;
  • any content that infringes third-party intellectual property rights; or
  • any content that you are not entitled to disclose under your professional duties of confidentiality.

4. Reasonable use of system resources

4.1
The Service is designed for ordinary professional use. We may apply reasonable rate limits, soft caps and quality-of-service controls to maintain platform stability for all customers.
4.2
If your use of any feature is materially out of line with ordinary use by comparable customers — for example, automating an unusually high volume of AI Write calls, or generating an unusually high volume of synthetic content — we may contact you to understand the use case, apply additional limits, or require an enterprise plan.

5. Reporting and cooperation

5.1
If you become aware of any breach of this AUP by another user, of any security vulnerability in the Service, or of any content on the Service that you believe is unlawful, please report it to hello@sitewrite.ai. We do not currently operate a paid bug bounty programme but we appreciate responsible disclosure and will acknowledge legitimate reports.
5.2
You must cooperate reasonably with any investigation we conduct in relation to suspected breach of this AUP, including by providing information about your use of the Service and the steps you have taken to address the matter.

6. Enforcement

6.1
If we reasonably believe that you, an Authorised User, or any other person using your account is in breach of this AUP, we may take any of the following actions, individually or in combination:
  • contact you to discuss the matter and request that the conduct stops or is remediated;
  • apply additional rate limits, feature restrictions, or monitoring to your account;
  • require the removal of specific content from your tenant;
  • suspend the affected account, feature, or the entire Subscription, in accordance with clause 4.2 and clause 15.1 of the Terms of Service;
  • terminate the Subscription in accordance with clause 14 of the Terms of Service; or
  • report the conduct to law enforcement or to a relevant professional regulator where we are required or permitted to do so.
6.2
We will, where reasonably practicable, give notice and an opportunity to remedy a breach before suspending or terminating. Where the breach is serious, ongoing, or where notice would prejudice the action (for example, in a security incident), we may act first and notify afterwards.
6.3
Suspension or termination under this AUP does not relieve the Customer of its obligation to pay Fees for the period up to the effective date of suspension or termination, and does not entitle the Customer to a refund of Fees already paid, save as expressly set out in the Terms of Service.

7. Changes

7.1
We may update this AUP from time to time. The version number and effective date at the top show the most recent revision. Where changes are material, we will give reasonable notice through the Service or by email to account administrators.
